What PortoDoc does with your mail

Everything on this page is included in your plan at no extra charge. The AI hints are non-binding – the original letter counts.

Authorised recipient for the tax office

You can name PortoDoc as your authorised recipient with the German tax office; your mail then comes to our address in Ahrensburg near Hamburg.

The tax office can require this from companies outside the EU and EEA (§ 123 AO). Online sellers on marketplaces name one with their application for VAT registration (§ 22f(1) sentence 2 UStG).

Limit: For one authority in Starter, for any number from Business. We only receive letters; you make statements and objections yourself.

Every letter explained

For every letter you get a summary in two or three sentences: who wrote it, what it is about and what to do.

The traffic light shows how urgent it is: red means deadline or urgent, yellow action needed, green for information only.

You can read German letters in English in all plans.

Limit: AI-assisted and non-binding; the original letter counts. Not legal or tax advice.

Help with deadlines

From Business, the deadline found in the letter appears next to the traffic light and on its own deadlines page in your account.

If the date is written in the letter, you get an email 7 and 2 days before it expires. In it, you mark the deadline as done or report that it is wrong.

Limit: The AI reads the deadline from the letter, without guarantee: it can be missing or wrong. Check it yourself or with your tax adviser – we do not monitor deadlines for you.

Filing and search

Create your own folders and tags, search the full letter text and add notes to a letter.

Download several letters as a package: a ZIP with an overview and all summaries.

Limit: A package holds up to 200 letters. The download link works for 15 minutes and only while you are signed in.

Rules: if …, then …

Let new letters sort themselves: if a letter comes from the tax office or has a deadline, then into a folder, with a tag, to your tax adviser or marked as done.

Up to 20 rules per account; each rule can do up to five things.

Limit: A rule only applies if the AI detects the feature, such as sender, type of letter or deadline. If it is missed or misread, the rule does not apply or applies differently.

Forwarding to your tax adviser

Send a letter with its summary by email to your tax adviser: one at a time, up to 20 at once or automatically by a rule. Replies come straight to you.

You add up to three recipients. Each one agrees once via a link – nothing is sent before that.

Limit: The email is encrypted in transit, but not end to end. If a letter does not fit into the email, it comes as a link valid for 72 hours.

Team account

Invite management, colleagues or bookkeeping, each person with their own login.

You decide who only reads, who edits and who manages. The access log shows who opened which letter.

Limit: Up to 10 people per account; an invitation is valid for 7 days. Contract, payment, authorisation and deleting the account stay with the owner.

API – on request

Bring letters and deadlines into your own tools: a REST API, a webhook for every new letter and a calendar feed for detected deadlines.

We enable the API for your account on request. You then create up to three keys.

Limit: Webhooks carry only IDs and metadata, no letter content. You are responsible for the tools you connect.

Why PortoDoc instead of a plain scanning service

A scan shows you the letter. PortoDoc also tells you what it is about.

  • Tax office

Just scanned: An address your letters go to.

With PortoDoc: If you want, we act as your authorised recipient. The tax office can require one from companies outside the EU and EEA (§ 123 AO).

  • Understanding

Just scanned: A PDF in German – reading and sorting it out is up to you.

With PortoDoc: A summary of every letter in two or three sentences: who wrote it, what it is about, what to do – in English in all plans.

  • Deadlines

Just scanned: The deadline is somewhere in the letter.

With PortoDoc: From Business, the deadline found in the letter appears next to the traffic light, plus an email 7 and 2 days before it expires. A hint without guarantee – you check it yourself.

  • Tax adviser

Just scanned: Passing it on means: download it and email it yourself.

With PortoDoc: One click sends the letter and its summary to your tax adviser – only after they have agreed via a link.

AI-assisted, non-binding aid – the original letter counts. Not legal or tax advice.
